HR and accountants deducting unpaid absence in GCC payroll
How to Calculate an Absence Deduction from Salary
An absence deduction is the number of unapproved absent working days multiplied by a daily rate. In WatheeqaHR the daily rate follows the company's country: monthly salary ÷ the working days in that month in the UAE, Kuwait, Bahrain, Qatar and Oman, and monthly salary ÷ 30 in Saudi Arabia. Approved leave, weekends and holidays are never counted as absence.
Steps
-
Confirm the absent days first
An absent day is a working day with no punch and no approved leave. Check the attendance report for the month and resolve missing punches before counting absences.
-
Exclude weekends, holidays and approved leave
Only scheduled working days can be absences. Approved leave is paid or unpaid according to its leave type, not as an absence.
-
Find the daily rate for your country
UAE, Kuwait, Bahrain, Qatar and Oman: monthly salary ÷ working days in that month, so the rate changes with the month. Saudi Arabia: monthly salary ÷ 30.
-
Multiply and review
Deduction = absent days × daily rate. WatheeqaHR shows the days, the dates and the daily rate on the salary line, so the accountant can check it before approval.
-
Start from a clean attendance file
If you are still on Excel, run the month's device export through the free WatheeqaHR attendance analyzer first to see absences, late days and missing punches per employee.
