HR and accountants preparing monthly attendance before payroll
How to Calculate Late Arrivals from Biometric Attendance
An employee is late on a working day when their first punch is more than the grace period after shift start. WatheeqaHR uses a 10-minute grace period: with an 08:00 shift, a first punch at 08:10 is on time and 08:11 is late. Upload the device export to the free WatheeqaHR attendance analyzer, set the shift start, and it counts late days for every employee automatically.
Steps
-
Export the raw punches from the device
Export the attendance or transaction report from your device software as Excel or CSV. Keep every punch row; do not pre-summarise it.
-
Find each employee's first punch per day
Group the punches by employee ID and date, and take the earliest time. That is the arrival time for the day; later punches (breaks, exit) do not affect lateness.
-
Compare it with shift start plus the grace period
A day is late when the first punch is after shift start + 10 minutes. Weekend days and holidays are not counted, so set your weekly off days and holidays first.
-
Count late days per employee
Add up the late days for each employee for the month. WatheeqaHR also keeps the minutes late per day, so a pattern of 2-minute and 40-minute delays is not treated the same in your review.
-
Let the analyzer do it in one step
The free WatheeqaHR attendance analyzer reads ZKTeco, BioTime, Hikvision, Dahua, Anviz, Suprema, FingerTec and eSSL exports with Arabic or English headers and returns late days, absences and missing punches per employee, with no signup.
