HR teams closing the month before salaries are prepared
How to Find Missing Punches Before Payroll
A missing punch is a working day where an employee has a check-in with no check-out, or a check-out with no check-in. These days cannot be counted reliably as worked hours, so they should be confirmed before payroll. Upload the device export to the free WatheeqaHR attendance analyzer and it lists the missing-punch days for every employee.
Steps
-
Export the month from the device
Export all punches for the payroll month as Excel or CSV, including the column that says whether a punch is In or Out if your device has one.
-
Pair the punches per employee per day
For each employee and date, pair the first entry with the last exit. A day with only one punch, or only entries or only exits, is a missing-punch day.
-
Check the In/Out codes
Devices label punches differently: In/Out, C/In and C/Out, 0 and 1, T&A In and Out, or the Arabic حضور and انصراف. If the codes are read the wrong way round, every day looks like a missing punch, so confirm them once.
-
Confirm each case with the employee or the device log
A forgotten punch, a device that was offline, or an overnight shift can all look like a missing punch. Record the confirmed times before payroll.
-
Use the analyzer for the whole file
The free WatheeqaHR attendance analyzer flags missing punches, late days and absences per employee in one report, and warns when day and month in the dates could be read either way.
